Cancellation & Refunds policy

Cancellations may be required in certain situations. To cancel, email info@calmada-expedition.com with your full name, tour date, and reference number. The Calmada-Expedition cancellation policy applies only to its services. Refunds are subject to the following terms:

Cancellation by Calmada Expedition

If we must cancel your expedition for any reason beyond our control, you will receive a full refund. This covers all cancellations initiated by the company, including operational or unavoidable issues.

Cancellation or Postponement Due to Weather

If adverse weather conditions occur, the Philippine Coast Guard and/or relevant authorities shall determine whether a vessel may depart. Their decision shall be final and binding for safety reasons.

In such cases, Calmada-Expedition shall be relieved of its obligations under this Agreement to the extent that performance is delayed, suspended, or prevented, in whole or in part, by causes beyond its reasonable control, including but not limited to: acts of God, adverse weather or sea conditions, gale or storm warnings, changes in laws or government regulations, war, civil unrest, fire, flood, earthquake, explosion, strikes, lockouts, work stoppages, seizure under legal process, essential construction or closure of hotels or resorts, or any other circumstance that makes it impossible or unsafe for Calmada-Expedition to operate fully or partially.

In the event of weather-related postponement, Calmada-Expedition will make reasonable efforts to offer an alternative departure date, typically the next available day, subject to weather conditions, authority clearance, and availability.

Costs During Weather Delays

Any additional accommodation, meals, transportation, or incidental expenses incurred as a result of such postponement shall be borne by the guest, unless expressly included in the original tour package or otherwise agreed to in writing. Assistance provided by Calmada-Expedition in arranging alternative services does not constitute acceptance of financial liability.

No Further Liability

No compensation, damages, or refunds shall be due for inconvenience, loss of enjoyment, or indirect losses resulting from weather-related delays or cancellations beyond the control of Calmada-Expedition.

Travel Insurance Recommendation & Risk Disclosure

Guests are strongly advised to obtain comprehensive travel insurance prior to departure. Such insurance should include coverage for weather-related delays or cancellations, extended accommodation, meals, missed connections, and other expenses arising from force majeure events, including those resulting from official weather advisories, government restrictions, or Coast Guard decisions.

Guests are further advised to ensure their insurance provides adequate coverage for medical expenses, illness, personal injury, emergency treatment, hospitalization, medical evacuation, and repatriation, particularly in remote or island locations where access to medical facilities may be limited.

Calmada-Expedition does not provide travel or medical insurance and shall not be responsible for costs or losses that may otherwise be covered by a guest’s personal insurance policy. Any assistance provided by Calmada-Expedition in relation to weather disruptions, illness, or injury shall be limited to reasonable support and coordination and shall not be construed as acceptance of financial liability.

Cancellation by Client

In case your plans have changed and you would like to cancel the tour, the following cancellation policy applies

  • In case the cancellation is made more than 30 days before the tour departs, a cancellation of 5,000 PHP is being applied, the rest of the deposit will be refunded

  • In case the cancellation is made less than 30 days but more than 14 days before the tour departs, a cancellation fee of the deposit is being applied (50%)

  • In case the cancellation is made less than 14 days before the tour departs, no refunds will be made

  • In case of no-show, no refunds will be made

  • For third-party arrangements, the applicable cancellation policy is determined by the respective provider.
